Privacy Policy

This Privacy Policy explains what information TreeSnap collects, how we use it, who we share it with, how we secure it, and how long we keep it. It covers two very different groups of people, and the rest of this policy is written to keep those two roles clear.

The short version

If you run a tree-service company and subscribe to TreeSnap, we collect the account, billing, and configuration information needed to run your branded estimate tool. We are the controller of that information.

If you are a homeowner who requested an estimate on a tree company's TreeSnap page, the photos and contact details you submit belong to that tree company. They are your lead. We only store and process that information on the tree company's behalf so the tool works. We do not sell it, and we do not use it for our own marketing.

Tree photos you upload are sent to our AI provider (Anthropic) solely to generate your estimate. They are not used to train AI models, and we automatically delete uploaded photos on a short schedule (see Data Retention).

1. Who we are

TreeSnap ("TreeSnap," "we," "us," or "our") provides a white-label, AI-powered tree-estimate tool that tree-service companies offer to homeowners on a branded subdomain (for example, yourcompany.treesnap.cloud). A homeowner uploads a few photos of a tree, our software generates a preliminary estimate, and the tree company receives the resulting lead.

TreeSnap is a sole proprietorship located at 215 West Bandera Road, Suite 114-1021, Boerne, TX 78006. You can reach us any time at hello@treesnap.cloud.

This policy applies to the TreeSnap marketing site (treesnap.cloud), the TreeSnap application and admin tools, and every branded customer subdomain we host, except where a tree company posts its own separate privacy notice.

2. Our two roles: controller & processor

TreeSnap handles two distinct kinds of data, and our responsibilities differ for each. Keeping these straight is the most important thing in this policy.

a. Tree-service companies: we are the "controller"

When a tree-service company applies for, subscribes to, and configures TreeSnap, we decide how that account information is used to deliver and bill the service. For this information we act as the data controller, and the rights and choices in this policy apply directly to that business and its representatives.

b. Homeowner leads: we are the "processor / service provider"

When a homeowner submits photos and contact details through a tree company's TreeSnap page, that information is collected for and on behalf of the tree company. The tree company is the controller of its own leads; TreeSnap is a processor (a "service provider" under U.S. state privacy laws) that stores and processes those leads only to make the tool work and to deliver the lead to the tree company.

We do not sell homeowner data, we do not share it with other tree companies, and we do not use it for our own advertising or marketing. What the tree company does with a lead after it receives it is governed by that company's own privacy practices, not this policy. If you are a homeowner and want a lead corrected or deleted, see Note for homeowners. We will help route your request to the right company and assist them in honoring it.

4. Tree photos & AI processing

To generate an estimate, the photos a homeowner uploads (together with the ZIP code, service type, and the tree company's pricing configuration) are transmitted to our AI provider, Anthropic, and processed by its Claude vision models. This is the core function of the tool and happens automatically when an estimate is requested.

8. Data retention & deletion

We keep information only as long as we need it for the purposes above:

When an account is deleted, we remove the associated account, configuration, lead, estimate, and usage records, cancel the subscription, and tear down the subdomain. Backups maintained by our infrastructure providers may persist for a limited additional period before being overwritten on their normal rotation.

9. How we secure data

We use industry-standard safeguards to protect information, including:

No method of transmission or storage is perfectly secure, so we cannot guarantee absolute security. If we become aware of a breach affecting your personal information, we will notify affected parties and authorities as required by applicable law.

10. Your privacy rights & choices

Depending on where you live (for example, under the Texas Data Privacy and Security Act, the California Consumer Privacy Act, and similar U.S. state laws), you may have the right to:

For tree-service companies (account holders): email hello@treesnap.cloud and we will respond directly.

For homeowners: because your lead belongs to the tree company you contacted, direct your request to that company. If you contact us, we will promptly forward your request to the company and help it respond. See the next section.

We will verify your identity before acting on a request and will respond within the timeframe required by applicable law. You may appeal a denied request by replying to our response, and you may also contact the Texas Attorney General or your state regulator.

Our marketing site and the application use cookies and similar technologies for essential functionality and to understand usage through Google Analytics. You can control cookies through your browser settings; blocking some cookies may affect how the site works. We honor recognized browser-based opt-out signals (such as Global Privacy Control) where required by law.

13. Children's privacy

TreeSnap is a business tool intended for use by adults. We do not knowingly collect personal information from children under 13 (or under 16 where applicable). If you believe a child has provided us information, contact us and we will delete it.

14. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above and, for material changes, provide additional notice where appropriate. Your continued use of TreeSnap after an update means you accept the revised policy.
