Privacy Policy
This Privacy Policy explains what information TreeSnap collects, how we use it, who we share it with, how we secure it, and how long we keep it. It covers two very different groups of people, and the rest of this policy is written to keep those two roles clear.
If you run a tree-service company and subscribe to TreeSnap, we collect the account, billing, and configuration information needed to run your branded estimate tool. We are the controller of that information.
If you are a homeowner who requested an estimate on a tree company's TreeSnap page, the photos and contact details you submit belong to that tree company. They are your lead. We only store and process that information on the tree company's behalf so the tool works. We do not sell it, and we do not use it for our own marketing.
Tree photos you upload are sent to our AI provider (Anthropic) solely to generate your estimate. They are not used to train AI models, and we automatically delete uploaded photos on a short schedule (see Data Retention).

1. Who we are
TreeSnap ("TreeSnap," "we," "us," or "our") provides a white-label, AI-powered tree-estimate tool that tree-service companies offer to homeowners on a branded subdomain (for example, yourcompany.treesnap.cloud). A homeowner uploads a few photos of a tree, our software generates a preliminary estimate, and the tree company receives the resulting lead.
TreeSnap is a sole proprietorship located at 215 West Bandera Road, Suite 114-1021, Boerne, TX 78006. You can reach us any time at hello@treesnap.cloud.
This policy applies to the TreeSnap marketing site (treesnap.cloud), the TreeSnap application and admin tools, and every branded customer subdomain we host, except where a tree company posts its own separate privacy notice.
2. Our two roles: controller & processor
TreeSnap handles two distinct kinds of data, and our responsibilities differ for each. Keeping these straight is the most important thing in this policy.
a. Tree-service companies: we are the "controller"
When a tree-service company applies for, subscribes to, and configures TreeSnap, we decide how that account information is used to deliver and bill the service. For this information we act as the data controller, and the rights and choices in this policy apply directly to that business and its representatives.
b. Homeowner leads: we are the "processor / service provider"
When a homeowner submits photos and contact details through a tree company's TreeSnap page, that information is collected for and on behalf of the tree company. The tree company is the controller of its own leads; TreeSnap is a processor (a "service provider" under U.S. state privacy laws) that stores and processes those leads only to make the tool work and to deliver the lead to the tree company.
We do not sell homeowner data, we do not share it with other tree companies, and we do not use it for our own advertising or marketing. What the tree company does with a lead after it receives it is governed by that company's own privacy practices, not this policy. If you are a homeowner and want a lead corrected or deleted, see Note for homeowners. We will help route your request to the right company and assist them in honoring it.
3. Information we collect
a. From tree-service companies (account data)
- Application & account details: your name, company name, email address, phone number, requested subdomain, service-area ZIP code, and selected plan.
- Tool configuration: business name, service region and ZIP codes, your pricing (removal, trimming, minimums, emergency multipliers, custom add-ons), brand theme, logo, and any custom disclaimer text you provide.
- Billing information: subscription tier, status, trial and billing dates, and a customer/subscription identifier from our payment processor. Card numbers are entered directly with our payment processor (Stripe); TreeSnap never sees or stores full card details.
- Support communications: emails and messages you send us.
b. From homeowners (lead data, on behalf of the tree company)
- Contact details: name, email address, and phone number.
- Property & job details: the ZIP code of the property and the type of service requested (removal, trimming, storm damage, emergency).
- Photos: up to three photos of the tree or job site that you upload.
- The generated estimate: the AI's output (species, estimated height, condition, complexity, line items, price range, and notes), which we store and attribute to the tree company whose page was used.
c. Information collected automatically
- Usage & device data: standard server logs and analytics such as IP address, browser/device type, pages viewed, and timestamps, collected through our hosting provider and Google Analytics.

4. Tree photos & AI processing
To generate an estimate, the photos a homeowner uploads (together with the ZIP code, service type, and the tree company's pricing configuration) are transmitted to our AI provider, Anthropic, and processed by its Claude vision models. This is the core function of the tool and happens automatically when an estimate is requested.
- We use Anthropic's commercial API under terms that do not permit your inputs or the generated outputs to be used to train AI models.
- Anthropic may retain API inputs and outputs for a limited period (currently up to 30 days) for trust-and-safety purposes, after which they are deleted under Anthropic's policies.
- Estimates are preliminary and generated by automated means from photos alone; they are not a binding quote and are always subject to an in-person assessment by the tree company.
5. How we use information
We use the information above to:
- Provide, operate, and secure the TreeSnap service and each customer's branded subdomain;
- Generate estimates from uploaded photos and deliver them to the homeowner;
- Deliver leads (contact details, the estimate, and submitted photos) to the relevant tree-service company by email, and by SMS where the company has enabled it;
- Set up, bill, support, and manage tree-company accounts and subscriptions, including trial reminders and payment notices;
- Send transactional and service emails (for example, application confirmations, approvals, account changes, and billing notices);
- Monitor, troubleshoot, prevent abuse of, and improve the reliability of the service;
- Comply with legal obligations and enforce our terms.
We do not sell personal information, and we do not use homeowner lead data for our own marketing.
6. How we share information
We share information only as needed to run the service:
- With the relevant tree-service company: each homeowner's lead and estimate are delivered to the company whose branded page was used.
- With sub-processors: the third-party vendors listed below, who process data on our behalf under contractual confidentiality and security obligations.
- For legal reasons: when required by law, subpoena, or to protect the rights, safety, and security of TreeSnap, our customers, or the public.
- In a business transfer: if TreeSnap is involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction, subject to this policy.
7. Sub-processors we use
We rely on the following service providers to operate TreeSnap. Each receives only the data it needs for its function:

8. Data retention & deletion
We keep information only as long as we need it for the purposes above:
- Uploaded photos (live tools): automatically deleted from our storage approximately 14 days after submission. Photo links included in lead emails expire after 7 days.
- Demo data: photos and estimates created on demo.treesnap.cloud are deleted within about 24 hours.
- Lead & estimate records: retained for the tree company so it can act on and reference its leads. The tree company may request deletion of specific records at any time.
- Canceled accounts: a tree company's estimate history and lead data are retained for up to 90 days after cancellation, then deleted, unless a longer period is required by law.
- Billing records: retained as required for tax, accounting, and legal compliance.
When an account is deleted, we remove the associated account, configuration, lead, estimate, and usage records, cancel the subscription, and tear down the subdomain. Backups maintained by our infrastructure providers may persist for a limited additional period before being overwritten on their normal rotation.
9. How we secure data
We use industry-standard safeguards to protect information, including:
- Encryption of data in transit (TLS/HTTPS) and encryption at rest through our hosting and storage providers;
- Private, non-public storage for uploaded photos, accessed only through short-lived, expiring links;
- Access controls and tenant isolation so each tree company can only reach its own data;
- Reputable infrastructure providers (Supabase, Vercel, Cloudflare, Stripe) that maintain their own security and compliance programs.
No method of transmission or storage is perfectly secure, so we cannot guarantee absolute security. If we become aware of a breach affecting your personal information, we will notify affected parties and authorities as required by applicable law.
10. Your privacy rights & choices
Depending on where you live (for example, under the Texas Data Privacy and Security Act, the California Consumer Privacy Act, and similar U.S. state laws), you may have the right to:
- Access or obtain a copy of the personal information we hold about you;
- Correct inaccurate information;
- Delete your personal information;
- Opt out of the "sale" or "sharing" of personal information for targeted advertising (note that TreeSnap does not sell personal information or use lead data for targeted advertising);
- Not be discriminated against for exercising these rights.
For tree-service companies (account holders): email hello@treesnap.cloud and we will respond directly.
For homeowners: because your lead belongs to the tree company you contacted, direct your request to that company. If you contact us, we will promptly forward your request to the company and help it respond. See the next section.
We will verify your identity before acting on a request and will respond within the timeframe required by applicable law. You may appeal a denied request by replying to our response, and you may also contact the Texas Attorney General or your state regulator.
11. Note for homeowners
If you used a tree company's TreeSnap page to get an estimate, here's what you should know:
- The photos and details you submitted go to that tree company as a lead so they can follow up with you.
- TreeSnap stores that information only to run the tool on the company's behalf and deletes uploaded photos on the short schedule described above.
- To have your information corrected or deleted, contact the tree company directly. You may also email us at hello@treesnap.cloud and we will route your request and help the company act on it.
- The estimate you receive is preliminary and not a binding quote.
12. Cookies & analytics
Our marketing site and the application use cookies and similar technologies for essential functionality and to understand usage through Google Analytics. You can control cookies through your browser settings; blocking some cookies may affect how the site works. We honor recognized browser-based opt-out signals (such as Global Privacy Control) where required by law.
13. Children's privacy
TreeSnap is a business tool intended for use by adults. We do not knowingly collect personal information from children under 13 (or under 16 where applicable). If you believe a child has provided us information, contact us and we will delete it.
14. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above and, for material changes, provide additional notice where appropriate. Your continued use of TreeSnap after an update means you accept the revised policy.
